Registration Policies and Information
How to Register:
Registrants must have an IEEE or Optica account to register for OFC. An IEEE or Optica account using Single Sign-On (SSO) credentials is required to complete the registration process. Membership status and corresponding registration rates are linked to the registrant’s record. To ensure accurate pricing, registrants should use the appropriate account associated with their membership.
The email address associated with the registrant’s account must match the email address used for the OFC registration. Registrants cannot log in using their SSO account credentials and then register using a different email address. If the email addresses do not match, the registration system will not allow the registrant to proceed.
OFC is not affiliated with third-party companies or organizations that contact individuals by phone, fax, email, or other means offering discounted registration, early-bird pricing after the published early-bird deadline, complimentary registration, or claiming to provide an alternative to the official OFC registration process. All OFC registrations must be processed through the official registration website.
All OFC registrations must be completed through the official online registration. Show Management does not accept paper or alternative registration forms. Support may be provided by phone or email for registration troubleshooting; however, Show Management reserves the right to decline registration requests submitted outside the official online registration platform.
Registration Payments, Outstanding Balances and Invoicing
Payment Methods:
All payments must be in USD.
All OFC registration payments must be made in the currency specified on the official OFC registration website. The following payment options are available during registration:
-
Credit Card – Payment is required at the time of registration.
-
Check
-
ACH/Wire Transfer
-
“Invoice Me”
Registrants selecting an offline payment method (check, ACH/wire transfer, or “Invoice Me”) will have an outstanding balance. Payment instructions are available on the OFC registration payment page and on the invoice. To download a PDF invoice, click the “Receipt/Invoice” button in the registration confirmation email.
Offline payment options will be available through Sunday, 21 February 2027. Beginning Monday, 22 February 2027, payment by credit card will be required at the time of registration.
Registrants who wish to pay by credit card but require an invoice before submitting payment should select the “Invoice Me” option during registration. This allows the registrant to complete the registration and subsequently submit payment by credit card using the “Submit Payment” button in the confirmation email.
-
Credit Card — For transactions in USD, OFC accepts Visa, Mastercard, American Express, Discover, and Diners Club. For transactions in currencies other than USD, OFC accepts Visa, Mastercard, and Discover.
-
Check — Check payments must be made in the currency specified for OFC and made payable to Optica.
-
ACH/Wire Transfer — ACH/wire transfers must include the invoice number and the registrant’s full name in the payment reference to avoid delayed or unidentified payments.
Outstanding Balances:
Registrants whose registrations are cancelled due to an outstanding balance and who still wish to attend OFC must complete a new registration and pay the applicable registration fee in full at the time of re-registration. The original registration rate is not guaranteed and may not be honored upon re-registration.
No registrant may attend OFC without payment in full. Onsite registrations must be paid in full at the time of registration. Check, ACH/Wire Transfer, or Cash are not accepted onsite. All on-site registrations may be paid via credit card at the time of registration only.
Invoices, Invoicing and Payment Processing:
OFC registration invoices are automatically generated based on the information provided by the registrant during the registration process. Show Management will not update or edit registration invoices.
Registrants are responsible for distributing registration documents to the appropriate parties within their organizations and for ensuring compliance with their institution’s internal payment and procurement requirements.
Show Management communicates directly with registrants and/or their designated representatives and does not provide additional administrative support related to institutional payment processing. This includes sending invoices to third parties, complying with organization-specific payment workflows, uploading documents to procurement portals, or including internal accounting, project, or payment references beyond standard registration documentation.
Registration Cancellation, Refund and Substitution Policies
Cancelling a Registration:
All OFC registration cancellations must be completed by the registrant through the official online registration system. To cancel a registration, click the “Cancel” button in the OFC registration confirmation email and follow the prompts to confirm the cancellation.
Cancellations submitted on or before February 20, 2027 will receive a refund less a USD 75 processing fee. No refunds will be issued for cancellations submitted after February 20, 2027.
Refunds will be issued to the original form of payment. Credit card refunds generally take three (3) to seven (7) business days to process, depending on the card-issuing bank. Refunds for payments made by check or ACH/wire transfer will be processed after the conference concludes and may take four (4) to six (6) weeks to process.
OFC registration cancellations must be completed by the registrant. Show Management will not cancel a registration on behalf of a registrant unless otherwise authorized under an applicable OFC policy or procedure.
Outstanding OFC registration fee balances are due seven (7) days before the OFC conference start date. Registrations with outstanding balances may be cancelled before the conference begins.
Substituting a Registrant:
Substitutions of registered attendees by colleagues or co-workers are not permitted. In the event that a registered attendee is unable to attend, they must cancel their registration in accordance with the event’s cancellation policy. If the original registration was paid via credit card, a refund will be issued automatically, subject to the event’s refund terms and conditions.
Payment transfers may be approved on a case-by-case basis but must adhere to the following requirements:
-
The transfer must be made between individuals within the same membership category (e.g., member to member).
-
The transfer must be made between colleagues within the same organization/institution.
-
A payment transfer fee of $75 may apply.
-
Discounted rates—including early bird pricing and membership or engagement-level discounts—may not be honored at the time of transfer.
Code of Conduct
It is important to the success of this meeting that every attendee be treated with consideration and respect. Please review the Code of Conduct and Anti-Harassment policy.
Badge Credentials
All registrants must wear an official OFC badge at all times while onsite. We strongly recommend printing only your badge during check-in. Please Note: NO BADGES WILL BE MAILED. Your badge represents value. As such, a badge reprint fee may apply.
Accessibility
The organizers and co-sponsors of OFC embrace accessibility and full participation and are dedicated to providing ADA-compliant accommodations to people of all abilities.
OFC management staff will assist attendees with reasonable accessibility accommodations to ensure a full experience for all. In order to plan effectively, we respectfully ask that individuals needing accommodations provide our management staff with advance notice and pertinent information during registration. OFC staff will continue to make every effort to accommodate reasonable requests received. Those who need assistance, including mobility scooter rentals and companion passes, may indicate and add these selections during registration.
Please note: We strongly encourage those needing a mobility scooter to indicate this specific need during registration, as a limited number of mobility scooters will be available on-site at OFC.
Policies and Terms of Registration
Reasonable Event Policies and Terms have been established. We encourage you to read these carefully as all registrants to the Conference will be required to agree to these policies and terms as a condition of registration.
